Shared desks for workspaces & hubs.

Best for hot-desking offices, shared workspaces, and charity centers.

Traditional room calendars fail when several people need the same room. I manage capacity, not just doors, and I can bill outside renters while your own people book for free.

What I do here

Shared capacities

Tell me how many desks are in the hub. I let members book simultaneously and automatically turn bookings away once you're full.

Live desk availability

Members see how many desks are still free on any given day, never who booked them. I share availability, never other people's plans.

Quiet hot desking

Members book in seconds from their phones, so you never walk in to find a desk shortage.

Members free, renters billed

Exempt your own people from charges and bill only external renters using your spare capacity. I track just the chargeable bookings.

Setting it up

Six steps. Capacity first, billing rules second.

  1. 1

Set up your space & desk count

Tell me how many desks or seats the space holds. I manage the capacity and stop taking bookings the moment it's full.

  2. 2

Pool rooms if desks span them · optional

If the same desks live across a couple of rooms, group them into a pool so they share one bookable count.

  3. 3

    Decide who pays

Choose your billing rule: entirely free, everyone charged, or the common case, your own members free and external renters billed.

  4. 4

Mark your people exempt, set a renter rate · if charging

Flag internal members as exempt so their bookings never appear on a bill, and set a per-desk rate for the external renters using spare capacity.

  5. 5

    Invite your members

They book desks in seconds from their phones, seeing how many desks are still free on any day, never who has booked them.

  6. 6

Export chargeable bookings & invoice · if charging

The monthly CSV lists only the billable renter bookings; exempt members are left off. Drop it into your accounts and invoice.

On billing: rates & exports

Your people free, spare capacity earning.

The whole point of a shared space is filling empty desks. Exempt your own members so their bookings are always free, and set a rate for external renters taking the spare seats. I track only the chargeable bookings and hand you a clean CSV at month end. You invoice the renters and keep every penny; I never process a payment or take a cut.
